Job Summary

Events Assistant supports the planning of special events; coordinates guests lists and attendee invitations and registration; assists with vendor research and maintaining vendor contracts; executes checklists; processes surveys and evaluations; creates summaries and status reports; maintains records.

Representative Duties

  • Assist with planning and coordination of special events, conferences, and meetings
  • Research venues and services conforming to customer requirements; make reservations as directed
  • Coordinate attendee invitations; arrange accommodations, transportation, tours, catering, and event security
  • Coordinate availability of signage, displays, printing, audio-visual equipment and other technology, and any special needs requirements
  • Execute pre-event checklists; address or elevate issues of concern
  • Process post-event surveys and evaluations; provide improvement area recommendations
  • Promote environmental management and sustainability including recycling, conservation, and waste management
  • Maintain contracts, agreements, and other records; create summaries and status reports
  • Provide general administrative support

Supervisory Responsibilities:
– May provide basic direction to lower level support staff
Fiscal Responsibilities:
– Handles routine financial transactions
– May validate and pay invoices
Problem Solving:
– Encounters generally routine problems; occasionally faces more complex and/or varied problems
– Typically follows recommended course of action and procedures to resolve problems
– Applies knowledge of institutional policies and procedures in determining course of action
Independence of Action:
– Work is generally monitored by supervisor
– Detailed instructions and procedures are generally provided
– Uses available guidelines to make appropriate adaptations to routine situations and refers other situations to supervisor
Communication and Collaboration:
– Communicates internally within working unit and/or the University
– May communicate with external audiences for scheduling/coordination
– Collaborates closely with team members

Salary Structure
  • Comp Grade – 5
  • Minimum – $38,300.00
  • MidPoint – $46,900.00
  • Maximum – $55,500.00
