Job Summary

The Health Services Assistant provides support and administrative services in a health care setting/environment. This role interacts with customers, patients, medical staff, and external vendors such as insurance companies to ensure efficient operations of the office/clinic/assigned area. The health care assistant is responsible for a variety of administrative tasks such as maintaining records and data, answering and screening calls, greeting visitors, and filing, typing, and maintaining various office equipment.

Representative Duties

  • Answer phones and screen calls; ensure healthcare staff is made aware of any cancellations or appointment changes
  • Screen and assist guests and visitors, provide assistance with a variety of tasks such as scheduling and adjusting appointments, collecting payments, notifying healthcare staff of patient arrival, and collecting and documenting feedback
  • Enter information into computer system for tracking and record keeping purposes; monitor incoming faxes and distribute to client files
  • Monitor clinic/office schedule
  • Contact external vendors including insurance companies to obtain authorizations and referrals and also to collect payments
  • Submit clinical documents and records to external vendors including insurance companies for review
  • Provide healthcare staff with messages and information as needed
  • Attend clinic/office meetings
  • Maintain office equipment and ensure the completion of filing, scanning, shredding, faxing, and copying as requested
  • May be responsible for intake services for several clinicians
  • Assist office staff with various processes and procedures; recommend changes as needed

Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Support track, performs work at Senior Support level or higher; for Professional track, performs work at the Advanced Professional level or higher)
Fiscal Responsibilities:
– May validate and pay invoices
– May monitor/track budgets for specific area and/or grant(s)

Salary Structure
  • Comp Grade – 7
  • Minimum – $46,400.00
  • MidPoint – $56,800.00
  • Maximum – $67,300.00
