Job Summary and Representative Duties

The Absence Management Assistant provides administrative and operational support to the team; ensures timely and accurate processing of claims, benefits, and leaves, while maintaining communication with employees, insurance providers, healthcare panel providers, payroll, and other university departments.

  • Prepare and distribute benefits and leave related communications, notices, and reminders
  • Perform data entry, record maintenance, document filing, and other general administrative tasks to support day-to-day operations
  • Schedule meetings, coordinate logistics, and support the team with ongoing projects and tasks
  • Provide timely and professional responses to employee, insurance, and internal department inquiries regarding benefits and leaves
  • Prepare and submit wage statements to insurance companies to support accurate calculation of employee lost wages
  • Process reimbursement checks related to workers' compensation and coordinate accurate financial posting with Payroll
  • Monitor and track employee leaves of absence, including FMLA, medical, and intermittent leaves
  • Enter employee time off related to leaves into applicable systems and respond to inquiries regarding leave-related absences
  • Assist with benefits premium billing for employees on unpaid or extended leaves, including arrears tracking
  • Process checks and payments received from employees for continued benefits coverage during leave

Supervisory Responsibilities:

– May validate and pay invoices

– Typically follows recommended course of action and procedures to resolve problems
– Applies knowledge of institutional policies and procedures in determining course of action
Independence of Action:
– Work is generally monitored by supervisor
– Detailed instructions and procedures are generally provided
– Uses available guidelines to make appropriate adaptations to routine situations and refers other situations to supervisor

Salary Structure

  • Minimum – $38,300.00
  • MidPoint – $46,900.00
  • Maximum – $55,500.00
