Job Summary

The Fleet Administrator prepares, processes, obtains, and distributes all relevant documentation related to University vehicle purchases, sales, transfers, etc. Other responsibilities include vehicle inventory audit and verifications, maintaining the motor carrier online account, and indirectly supervising personnel.

Representative Duties

  • Prepare and process University automobile and other vehicle purchase, bid, sale, transfer, disposal, and registration documentation; maintain registration database; assist Police Services, Risk Management, and Parking Office, as requested
  • Research, identify, and process permits, R Titles, enhanced safety inspections, and all regulatory, grant, donation, gift, etc. documentation required for education, research, and other special purpose vehicles
  • Obtain and distribute license plates, title, registration, insurance cards, vehicle recall notifications, traffic violation notifications, etc.
  • Perform annual vehicle inventory audit and verification; update/make corrections as needed; provide documentation to Risk Management
  • Maintain Federal Carrier Motor Safety Administration online account; complete annual motor carrier identification report
  • Maintain Pennsylvania Notary Public commission and PennDOT Card Agent license; attend continuing education courses
  • Indirectly supervise employees; train, direct, assign work; inform supervisor of employee performance issues; advise on hiring decisions

Supervisory Responsibilities:
– May serve as lead support staff and/or provide basic direction to lower level support staff

Fiscal Responsibilities:
– Handles financial transactions
– May validate and pay invoices
– May monitor/track budgets for specific area and/or grant(s)

– Encounters generally routine problems; occasionally faces more complex and/or varied problems
– Typically follows recommended course of action and procedures to resolve problems
– May use experience to resolve more complex and/or varied problems, with supervisor oversight

Salary Structure
  • Comp Grade – 6
  • Minimum – $42,100.00
  • MidPoint – $51,600.00
  • Maximum – $61,000.00
