Job Summary and Representative Duties
The Athletic Facilities and Events Manager administers all aspects of events for Division I athletic programs; provides oversight and management of athletic facilities across sports; establishes compliance, safety, and risk management protocols aligned with NCAA, conference, and University standards; develops master event schedules; plans and administers budgets; ensures consistency in operating procedures across programs; oversees the continuous improvement of athletic venues, equipment operations, and event administration to promote operational excellence; collaborates with athletic staff, partners, and stakeholders to ensure seamless event delivery and facility performance; supervises, trains, and evaluates staff.
- Administer events for athletic programs including home events, athletic competitions, conferences, championship events, postseason events, and special team events; lead and direct systems and procedures related to contracts, operational logistics, compliance, safety, resource allocation, and scheduling
- Oversee athletic grounds and facility operations including stadiums, arenas, practice facilities, training spaces, and fields; collaborate with the Office of Physical Plant (OPP), marketing, and event units to ensure the optimal performance of facilities; determine the effective allocation of labor and resources across athletic spaces; partner with coaches and administrators to identify facility needs and accommodate requests; ensure compliance with University policies, safety protocols, and NCAA regulations
- Develop preventative maintenance plans and capital improvement recommendations; collaborate in the management capital projects for athletic facilities, including defining goals, objectives, timelines, and quality control; lead modernization and improvement projects aimed at increasing competitive positioning, operational efficiency, and adaptability to evolving conference requirements
- Manage athletic equipment operations including equipment maintenance, equipment rooms, policies, contracts, and vendor relationships; develop equipment quality standards and guidelines; collaborate with athletic staff to understand performance needs; ensure certification, compliance, branding, and functionality of athletic equipment; develop purchasing, distribution, preventive maintenance, and inventory control procedures
- Drive the adoption of emerging technologies in athletic equipment; establish quality standards that set the benchmark for safety, durability, performance, and branding integrity; cultivate vendor partnerships that influence product development and secure access to innovative, high-performance equipment
- Administer athletic event, facility, and equipment budgets; monitor expenditures; review and approve budget modifications; partner with sport staff to develop, forecast, monitor, and manage funds; negotiate and manage vendor contracts; provide financial analytics that maximize performance and fiscal stewardship
- Establish and elevate facility and event standards; assess emerging trends in the sports industry related to fan experience, venue technology, risk management, and sustainability; promote a culture of innovation and operational excellence; continually expand hosting capabilities and increase successful bid awards
- Partner with athletic leadership to implement plans that promote continual growth and enhancements within University Athletics; align planning efforts with the broader Athletic Department's mission, vision, objectives, and brand; drive continuous improvement through post-event analytics; establish measurable performance standards for event execution and facility operations
- Collaborate with central University areas including recreation, facilities, and safety units to support event execution; represent the unit and develop partnerships with stakeholders to advance the impact, capabilities, and performance of athletic events
- Supervise athletic staff, including hiring, training, and evaluating employees; oversee workflows and effectively prioritize and delegate assignments; provide professional development opportunities
