Job Summary

The Research and Prospect Tracking Assistant ensures prospect tracking policies and procedures are properly and consistently followed by all University development staff. The Assistant is the primary contact for constituent updates to support prospect review and is integral in maintaining efficiency with system data; will monitor, process, and direct documents through workflow processes to support constituent document retention, including accessibility to donor proposal documentation; works collaboratively with assigned fundraising area and central development staff to maximize the identification, cultivation, and solicitation efforts of the University.

Representative Duties

  • Ensure data integrity; oversee daily maintenance of prospect tracking system to include University donor contact assignment and solicitation
  • Maintain donor database; compile and analyze data; process, update, and maintain proposals
  • Coordinate with senior level specialists and technical personnel to resolve issues pertaining to prospect tracking systems
  • Analyze documents for completeness, accuracy, and conformance with applicable guidelines/regulations and procedural requirements
  • Engage with fundraising units to maintain accurate engagement data
  • Apply institutional knowledge of systems, processes, and key data policies to ensure donor information is accurately and effectively recorded in donor database
  • Coordinate proactive identification, analysis, and constituent updates of records from third party processes and vendors
  • Assist with recommendations for follow up steps by team members and ensure requests meet policy requirements
  • May serve as main point of contact for coordination of constituent records to ensure they are appropriately added to donor database

– May validate and pay invoices
– May monitor/track budgets for specific area and/or grant(s)

Salary Structure
  • Comp Grade – 5
  • Minimum – $38,300.00
  • MidPoint – $46,900.00
  • Maximum – $55,500.00
