Job Summary and Representative Duties

The Human Resources (HR) Data and Onboarding Associate completes pre-employment activities and ensures timely and accurate processing of HR and payroll transactions within the University's human resources information system (HRIS), while contributing to a positive employee experience.

  • Process Human Resources and Payroll transactions in the HRIS, including terminations, reappointments, job changes, compensation changes, one-time payments, contingent workers requests, supervisory organization changes, and background checks
  • Facilitate employee lifecycle transactions such as transfers, career progressions, reclassifications, and salary adjustments
  • Process University-wide continuing appointments for faculty, postdoctoral scholars/fellows, graduate students, and limited-term staff; complete data entry, form production and distribution, tracking, and files for system uploads; respond to inquiries from HR Consultants throughout appointment cycles
  • Ensure all transactions are processed accurately and aligned with payroll deadlines
  • Maintain specialized knowledge of processing requirements for various employee types and effectively communicate and respond to related Tier 2 inquiries as a subject-matter expert
  • Support pre-employment and recertification activities by collecting and reviewing employment authorization documentation in the completion of Form I-9
  • Respond to inquiries via case management system, email, and phone; ensure timely resolution and a positive customer service experience; track inquiries and document resolutions within the case management system
  • Research and resolve moderately complex HR-related questions; escalate complex issues as appropriate
  • Support assigned team projects by attending meetings, contributing ideas, and assisting with implementation
  • Assist in developing and maintaining procedures, job aids, knowledge base articles, training resources, and process documentation
  • Conduct audits to identify and resolve discrepancies or errors
  • Ensure HR data integrity and adherence to University policies and regulatory requirements
  • Partner with HR teams, Payroll, HR Technology, and other stakeholders to ensure smooth HR operations
  • Participate in ongoing learning to stay current on HR policies, systems, and best practices
  • Provide support in training new team members through knowledge sharing and role modeling
  • Participate in continuous improvement initiatives to enhance HR service delivery
  • May work closely with Payroll to ensure accurate and timely administration of pay practices; partner closely with Payroll, Benefits, and Unit HR on the resolution of complex transactional situations, often with pay implications
  • May drive speed, quality control, accountability and operational discipline across all HR transactional workflows
  • May establish audit protocols to ensure the quality and integrity of all HR transactions
  • May supervise staff members, including hiring, development, and performance management

Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Support track, performs work at Senior Support level or higher; for Professional track, performs work at the Advanced Professional level or higher)

Salary Structure
  • Comp Grade – 7
  • Minimum – $46,400.00
  • MidPoint – $56,800.00
  • Maximum – $67,300.00
