Job Summary

The Records Coordinator maintains systems used to manage, retrieve, and secure business records for a unit; provides consultation on records policies and procedures; supports all phases of record retention.

Representative Duties

  • Maintain electronic and paper record systems including work unit files, databases, document imaging systems, and reports
  • Support various phases of record retention including data entry, scanning, indexing, and storage
  • Review and analyze records for quality and accuracy; correct discrepancies
  • Process requests from internal and external customers for information while following verification and record retrieval procedures
  • Respond to questions and issues concerning unit/University policies, processes, and procedures; ensure unit compliance with University and governmental regulations
  • Coordinate and contribute to the collection of data for periodic reports or grants
  • Compose letters, memos, and reports
  • Administer and monitor access controls to ensure the secure retrieval and transfer of records
  • Provide consultation on records management practices and/or projects
  • Make recommendations for efficient records practices

Supervisory Responsibilities:
– May provide basic direction to lower level support staff
Fiscal Responsibilities:
– Handles routine financial transactions
– May validate and pay invoices

– Encounters generally routine problems; occasionally faces more complex and/or varied problems
– Typically follows recommended course of action and procedures to resolve problems
– Applies knowledge of institutional policies and procedures in determining course of action
Independence of Action:
– Work is generally monitored by supervisor
– Detailed instructions and procedures are generally provided
– Uses available guidelines to make appropriate adaptations to routine situations and refers other situations to supervisor

Salary Structure
  • Comp Grade – 4
  • Minimum – $34,800.00
  • MidPoint – $42,600.00
  • Maximum – $50,500.00
