Job Summary and Representative Duties

The Athletic Facilities and Events Specialist plans and coordinates logistics for Division I intercollegiate sport events; provides direction for game-day operations, staffing, facilities, and equipment operations; oversees scheduling, communications, marketing, and external vendor coordination; manages facility operations to ensure that facilities are prepared to host events while adhering to University and conference standards; works closely with various university departments, coaches, and student-athletes to create a positive and engaging experience for attendees, participants, and the campus community.

  • Provide direction and oversight of events for assigned sports including home games, tournaments, special events, and seasonal competitions; prepare event timelines and schedules; facilitate hospitality logistics; ensure the preparation of the game space; communicate with officials, conference staff, and vendors; promote events and engage the University community; manage staffing requests and resource allocation; identify and mitigate game day or event issues
  • Collaborate with coaches, teams, and athletic department staff to coordinate event logistics; effectively communicate event plans with all parties to ensure smooth workflows; coordinate with internal marketing, ticketing, parking, video teams, media, and external vendors to promote and execute event plans
  • Monitor and implement communication procedures for game days, including fan communication systems and incident management systems
  • Manage equipment rooms including inventory and quality control; determine apparel and equipment needs; oversee equipment repair and alteration; evaluate equipment options from vendors, negotiate prices, and make purchasing recommendations; establish systems for the distribution and retrieval of gear; comply with NCAA rules regarding issuance of apparel
  • Uphold athletic equipment to NOCSAE (National Operating Committee for Safety in Athletic Equipment) and NAERA (National Athletic Equipment Reconditioner Association) standards; ensure all protective equipment is properly certified
  • Oversee the usage and resources of athletic facilities including event schedule coordination, crowd control and parking plans, building access, safety procedures, communication with user groups, event sales, and vendor coordination; ensure that facilities meet University and conference standards for hosting events; coordinate with technical staff, janitorial staff, and grounds crew to ensure that facilities are ready for events, tournaments, practices, and clinics; meet with customers to identify and accommodate event requests
  • Develop relationships with entities including law enforcement, public safety units, and emergency management units to execute protocols and ensure event safety; collaborate with local government groups and agencies to ensure seamless event operations and to ensure compliance with community ordinances
  • Hold operations meetings to ensure all participants, staff, and volunteers understand protocols, policies, and plans for upcoming events; train and manage part-time athletic staff in support of event operations
  • Manage, plan, prepare, and monitor budget for assigned sport; estimate costs; allocate resources; prepare financial reports; manage wage payroll and payments for vendors and officials
  • Prepare, review, and interpret contracts related to equipment, apparel, association bids, and vendor goods and services; ensure adherence to contract requirements
  • May supervise staff members, including hiring, development, and performance management

Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Professional track, performs work at the Senior Professional level or higher)
