Job Summary

Asset Management Specialists monitor accountability for capital plant assets including land, buildings, improvements other than buildings (infrastructure) and equipment. Responsibilities include tagging; conducting physical inventories; maintaining electronic inventories; recording transactions; preparing and submitting reports; liaising with government personnel and property auditors. Asset Monitoring Associates may also conduct training and perform clerical/administrative/budgeting tasks.

Representative Duties

  • Verify statutory, regulatory, and University policy requirement compliance for accountability records related to land, buildings, improvements (roads, parking, sidewalks, and other infrastructure), movable and fixed equipment
  • Identify, monitor, and ensure proper tagging of capital assets; analyze purchase orders, gifts, internal transfers, general services and purchase card transactions; record transactions into electronic database and onto property control forms
  • Verify equipment ownership—University, government, sponsor, or leased/loaned; ensure written approval is acquired to transfer, loan out, upgrade, disassemble, dispose, destroy, trade-in or sell government owned/sponsored equipment
  • Process and maintain fabrication requests; verify source documents; create approval correspondence; tag as appropriate; update electronic database as required
  • Conduct periodic physical inventories; make corrections to inventory reports; update tags and electronic database; notify appropriate personnel of discrepancies; follow-up as needed
  • Conduct periodic or upon request internal audits; identify shortfalls and provide resolutions to facilitate compliance
  • Act as liaison to government personnel and property auditors
  • Keep abreast of statutory and regulatory changes; assist with updating University policy; make appropriate notifications
  • Develop, plan, and organize training programs; provide virtual or in-person training
  • Perform clerical, administrative, and budgeting support duties
  • May supervise staff members, including hiring, development, and performance management

Base Description:
– Supervises direct reports, but primarily completes activities, tasks, and/or projects of a functional nature.
Level Summary:
– Demonstrates appropriate knowledge to perform own work; spends majority of time on tasks related to own job responsibilities. Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Support track, performs work at Senior Support level or higher; for Professional track, performs work at the Advanced Professional level or higher)
Fiscal Responsibilities:
– May validate and pay invoices
– May monitor/track budgets for specific area and/or grant(s)

Salary Structure
  • Comp Grade – 7
  • Minimum – $46,400.00
  • MidPoint – $56,800.00
  • Maximum – $67,300.00
