Job Summary and Representative Duties

The Promotion and Tenure Coordinator is responsible for managing and supporting the university's promotion and tenure (P&T) process for a designated college; serves as the primary administrative contact for all matters related to faculty promotion and tenure, ensuring that policies, procedures, and timelines are clearly communicated and followed; works closely with academic leadership, faculty, and administrative staff to ensure a smooth, transparent, and compliant review process.

  • Coordinate all administrative aspects of the annual promotion and tenure (P&T) review cycle for faculty in designated college
  • Develop and maintain the P&T calendar/schedule, including key deadlines and submission dates
  • Ensure compliance with university and college guidelines related to faculty review processes; monitor, communicate, and interpret academic and administrative policies
  • Serve as a liaison between academic departments, college leadership, faculty review committees, external reviewers, and Faculty Affairs/Provost's Office; facilitate committee meetings
  • Train and guide faculty and staff on P&T procedures, systems, and best practices; provide guidance, templates, and workshops to faculty on preparing dossiers; train new P&T committee members on policies, evaluation criteria, and confidentiality protocols
  • Collect, organize, and prepare dossiers, evaluator letters, and review materials for committee evaluations and administrative review
  • Maintain secure records of all P&T submissions, decisions, and outcomes; ensure adherence to record retention policies and legal/regulatory standards for personnel files
  • Monitor P&T processes to help ensure consistency and fairness; prepare materials for internal or external audits
  • Assist in compiling data, generating reports, and documenting outcomes for institutional reporting and accreditation purposes
  • Collaborate with the revision and implementation of P&T policies and guidelines in collaboration with university leadership
  • Continuously improve administrative workflows and leverage technology to enhance process efficiency and transparency; serve as the primary point of contact for electronic dossier systems
  • Maintain and update P&T guides, FAQ pages, and training materials
  • Research and incorporate best practices in promotion and tenure processes from peer institutions
  • May oversee the processes for fixed-term faculty reappointments, sabbatical leaves, non-tenure track promotion, and/or Visiting Scholar applications
