Job Summary and Representative Duties

The Advancement Services Manager oversees the strategic and operational management of activities related to the processing of University gifts and alumni memberships, as well as management of the University's advancement constituent database; is accountable for the correct and timely entry and financial accuracy of all accounts; oversees the management and integrity of biographical, membership, and donor information; ensures compliance with University policies and guidelines as well as industry and government laws and regulations; ensures exceptional customer service with numerous constituent groups, including donors, members, University departments, and vendors; leads continuous quality and process improvements; mentors, coaches, and leads staff.

  • Oversee the evaluation, development, and implementation of business processes, policies, procedures, and support systems for the donor/member database and all gift and membership processing
  • Identify business requirements necessary to successfully deposit and record University gifts, commitments, and memberships; work with internal and external teams to ensure current systems and processes support business criteria
  • Implement procedures to ensure accuracy and confidentiality of data; ensure compliance is achieved in a manner that enables the fulfillment of donor intent
  • Establish and implement the appropriate processing methods for the wide variety of requirements and gift types, such as unrestricted/restricted, endowed/non-endowed, annual funds, securities, gifts in kind, future bequests, research contributions, and donor advised funds
  • Direct, develop, and coordinate the daily accounting of monies for all University gift and alumni member accounts; ensure accurate handling, transferring, and reconciliation of monies
  • Partner with both internal and external audit to confirm fiduciary responsibility and compliance with University policies and guidelines, and federal laws
  • Deploy strategic and operational problem solving to resolve daily customer issues and questions; ensure timely, accurate, and compliant resolution of issues
  • Support the University's gift recording and stewardship efforts; foster and maintain partnerships with a broad group of internal and external constituents
  • Leverage strategic and operational thinking for systems upgrade or enhancement projects; administer system wide data or process updates
  • Serve as a liaison to other University units regarding gift, membership and biographical data, information and procedures, and interpretation of policies surrounding security of data and/or release of such data
  • Develop and administer necessary training; serve on Division and University wide committees, as applicable
  • Assist with strategic planning, goal setting, evaluation, and documentation of operations
  • Manage assigned staff, ensuring successful completion of team responsibilities; hire, coach, mentor, and evaluate staff performance, and make recommendations for professional development opportunities

Salary Structure
  • Comp Grade – 17
  • Minimum – $141,700.00
  • MidPoint – $180,700.00
  • Maximum – $219,600.00
