Purchasing Card Operations Coordinator – Intermediate Support (PSU2532)
Job Summary and Representative Duties
The Purchasing Card Operations Coordinator provides support and guidance for purchasing card and travel processes and systems throughout the University; serves as an escalation point for issues related to purchasing and travel; liaise with purchasing card and travel vendors to resolve issues and optimize the user experience; reviews and approves purchasing card assignments and controls; provides training related to purchasing and travel policies and best practices.
- Coordinate and facilitate processes related to purchasing card usage and management throughout the University
- Provide support, outreach, and guidance to purchasing card and travel system users and processers within units and departments; monitor and resolve inquiries through the inquiry management system
- Engage with University employees and cardholders to interpret and apply policy and procedures to resolve non-routine issues
- Collaborate with partnering financial institutions to resolve discrepancies and fraudulent charges
- Process purchasing card increases; review and approve new purchasing card requests; maintain purchasing card list serves; facilitate the distribution of purchasing cards
- Receive all contracts being paid by purchasing cards; prepare contracts for review and signature in the enterprise contracts system
- Track, monitor, and provide purchasing card training
- Serve as a primary point of escalation for travelers and travel support staff within the units; resolve payment issues with suppliers; develop process for receiving feedback related to travel agency systems and tools
- Generate reports related to purchasing card usage
