Job Summary

The Constituent Programming and Events Officer develops, implements, executes, and maintains development and/or alumni events and related services. This position maintains liaison with appropriate staff and executives to strengthen existing alumni and donor relationships and works with committees and boards to plan and implement activities and events.

Representative Duties

  • Oversee the planning, implementation, marketing, coordinating, and evaluating of development and alumni programs and events such as receptions, dinners, groundbreakings, and tailgates
  • Create and coordinate the design and production of publications, invitations, programs, etc.
  • Negotiate and process contracts for necessary development and alumni event venues, caterers, hotels, etc.
  • Create and analyze the effectiveness of programs and events and recommend improvements or new creative strategies
  • Create, manage, and support selected constituent management activities, including direct mail, e-communications, and event planning
  • Create and coordinate event and program attendee reservations and create data reports to analyze event success
  • Supervise and manage the schedule and operational logistics of the room reservation
  • Work with volunteers, committees, boards, and University staff as assigned
  • Develop and produce internal and external materials, proposals, and reports
  • May assist in writing and editing proposals and other written materials
  • Research and manage inventory of marketing materials, promotional handouts, invitations, and office supplies to be used during alumni and development events
  • May provide consultative services in planning special events in regards to protocol and etiquette
  • Direct and coordinate the activities of assigned event staff and provide direction, training, and solve problems as necessary; may serve as supervisor for hiring, development, and performance management

Base Description:
– Supervises direct reports, but primarily completes activities, tasks, and/or projects of a functional nature.
Level Summary:
– Demonstrates comprehensive knowledge to perform own work; spends majority of time on tasks related to own job responsibilities. May demonstrate subject matter expertise. Demonstrates intermediate to advanced planning, organizing, directing, and facilitating skills. Demonstrates the ability to coach assigned employees. Assigns and reviews completed work to verify accuracy, quality, and adherence to professional standards. Trains, coaches, mentors, and motivates staff. Anticipates potential problems, issues, and opportunities; researches and recommends solutions within defined policies. May develop creative recommendations for solving problems.
Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Professional track, performs work at the Senior Professional level or higher)
Fiscal Responsibilities:
– May validate and pay invoices
– Monitors and tracks budgets for specific area and/or grant(s)
– May assist in planning and forecasting budgets

– Encounters moderately complex problems
– Applies general precedents and practices and specialized knowledge and skills to resolve problems
– Understands benefits, limitations and impact of potential solutions

Salary Structure
  • Comp Grade – 9
  • Minimum – $56,200.00
  • MidPoint – $68,800.00
  • Maximum – $81,500.00
