Job Summary and Representative Duties

The Print and Mail Services Supervisor plans, coordinates, and supervises the operations of a print, mail, and/or document production services department; oversees print production, bindery and finishing services, mail operations, shipping and receiving, customer service, production scheduling, budgeting, equipment and inventory management, estimating and billing, regulatory compliance, and/or related administrative functions; supervises professional, technical, support, student, and temporary staff and ensures the efficient, cost-effective delivery of services to the University.

  • Plan, coordinate, and supervise print production, mail services, bindery, finishing, shipping, receiving, and/or distribution operations
  • Establish production schedules, assign work, monitor workflow, and ensure projects are completed accurately, efficiently, and within deadlines
  • Review project requirements and determine appropriate production methods, materials, equipment, and processes
  • Serve as a technical resource on printing, mailing, finishing, and/or document production services
  • Develop, implement, and maintain operational procedures, quality standards, and process improvements
  • Supervise, train, evaluate, and direct staff; establish performance expectations; coordinate staffing and workload assignments; adhere to applicable collective bargaining agreements
  • Consult with customers regarding project specifications, production options, schedules, costs, and delivery requirements
  • Prepare and review estimates, monitor project costs, authorize billing adjustments, and administer operational budgets
  • Process purchasing activities, maintain vendor relationships, and prepare operational and financial reports
  • Coordinate mail operations, including incoming, outgoing, interoffice, bulk mail, package distribution, and related postal services
  • Ensure compliance with applicable postal regulations, carrier requirements, safety standards, and University policies
  • Research, evaluate, and recommend equipment, technologies, and operational improvements
  • Oversee equipment maintenance, inventory control, and procurement of supplies and materials
  • Maintain production management systems, databases, records, and documentation related to scheduling, estimating, billing, inventory, and regulatory compliance
  • Monitor service levels and implement corrective actions to ensure quality, efficiency, and customer satisfaction
