Job Summary

The Athletic Program Specialist coordinates all operations for intercollegiate athletic programs; facilitates student athlete recruitment and retention efforts; manages program budget; coordinates practice and game times; plans and coordinates all aspects of team travel; serves as a liaison to athletic administration, training staff, sport staff, marketing, and other organizations; plans, organizes and coordinates all logistics of summer camp programs.

Representative Duties

  • Facilitate recruiting efforts for an intercollegiate sport program; coordinate visits for prospective students
  • Contribute to retention efforts of student athletes; serve as a liaison with admissions and financial aid; arrange for academic support tutoring services; track student progress; deliver orientations and freshman seminars
  • Coordinate logistics for athletic camps including housing, registration, payments, and staffing; provide support for participants via email and phone
  • Plan and coordinate all aspects of team travel; develop itineraries; coordinate transportation and hotel arrangements, meals, practice times and sites, purchases, and staff meeting schedules
  • Monitor program budget; process transactions; authorize purchases; and maintain financial records
  • Maintain and create records including game notes, statistics, team record books, and news releases
  • Collect, distribute, manage, and organize team inventory including uniforms, merchandise, and equipment
  • Oversee administrative aspects of athletic events such as scheduling, staffing, venue set-up, and ensuring equipment and vendor availability
  • Ensure player and coach compliance with NCAA regulations; administer tests; monitor eligibility
  • May supervise staff members, including hiring, development, and performance management

Base Description:
– Supervises direct reports, but primarily completes activities, tasks, and/or projects of a functional nature.
Level Summary:
– Demonstrates comprehensive knowledge to perform own work; spends majority of time on tasks related to own job responsibilities. May demonstrate subject matter expertise. Demonstrates intermediate to advanced planning, organizing, directing, and facilitating skills. Demonstrates the ability to coach assigned employees. Assigns and reviews completed work to verify accuracy, quality, and adherence to professional standards. Trains, coaches, mentors, and motivates staff. Anticipates potential problems, issues, and opportunities; researches and recommends solutions within defined policies. May develop creative recommendations for solving problems.
Supervisory Responsibilities:
– Typically oversees at least 2 full–time direct reports or equivalent team of part–time and/or student workers (for Professional track, performs work at the Senior Professional level or higher)
Fiscal Responsibilities:
– May validate and pay invoices
– Monitors and tracks budgets for specific area and/or grant(s)
– May assist in planning and forecasting budgets
Problem Solving:
– Encounters moderately complex problems
– Applies general precedents and practices and specialized knowledge and skills to resolve problems
– Understands benefits, limitations and impact of potential solutions
– Anticipates potential problems and recommends possible solutions within general guidelines

Salary Structure
  • Comp Grade – 7
  • Minimum – $46,400.00
  • MidPoint – $56,800.00
  • Maximum – $67,300.00
