Athletic Events Specialist – Intermediate Professional (PSU0418)
Job Summary
The Athletic Events Specialist coordinates, plans, and manages Division I intercollegiate sport events; oversees logistics including staffing, scheduling, marketing, media coverage, and external vendors; coordinates and manages workflow; works closely with various university departments, coaches, and student-athletes to create a positive and engaging experience for attendees, participants, and the campus community.
Representative Duties
- Plan, organize, and execute Division I athletic events, including home games, tournaments, special events, and seasonal competitions
- Collaborate with coaches, teams, and athletic department staff to coordinate event schedules and logistics
- Oversee the preparation of event timelines, venue setups, and resource allocation (e.g., equipment, technology, signage, etc.)
- Serve as a point of contact for coaches, athletes, officials, vendors, media, and other key stakeholders before, during, and after events; attend events and provide on-site direction to ensure smooth operations
- Schedule game day staff and ensure adequate coverage for the event; oversee the workflow of event staff
- Coordinate with marketing, ticketing, parking, video teams, and external vendors to execute event logistics
- Communicate event details and updates to the campus community, fans, and media via social media, email newsletters, and other university channels
- Collaborate with the marketing and communications teams to promote events and engage the university community
- Coordinate with emergency medical services, facilities staff, and police services to execute protocols and ensure event safety
- Ensure compliance with university policies, safety protocols, and NCAA regulations during events
- Assist in creating and managing event budgets, ensuring all expenses are tracked and reported accurately
- Gather feedback from event participants, staff, and attendees to assess event success and identify areas for improvement
- Prepare post-event reports, including attendance numbers, budget reconciliation, and performance metrics
- Coordinate volunteer recruitment, training, and management for event support
- Collaborate with coaches and operations staff to develop long-term plans for future events
- May supervise staff members, including hiring, development, and performance management

Salary Structure
- Comp Grade – 8
- Minimum – $51,000.00
- MidPoint – $62,500.00
- Maximum – $74,000.00
