Job Summary and Representative Duties

The Constituent Programming and Events Officer develops, implements, executes, and evaluates programs, events, and engagement initiatives designed to strengthen relationships between the University and external constituents, alumni, partners, community members, and stakeholders; collaborates with internal and external partners to plan and coordinate activities that enhance engagement, foster meaningful connections, and support institutional priorities; works closely with committees, volunteers, leadership, and affiliated organizations to deliver high-quality events, communications, and outreach initiatives.

  • Oversee the planning, implementation, marketing, coordination, and evaluation of constituent engagement programs and events such as receptions, conferences, ceremonies, community gatherings, networking events, and institutional celebrations
  • Develop and prepare internal and external communications, presentations, briefing materials, proposals, and reports
  • Build and maintain relationships with alumni, community organizations, corporate partners, government agencies, and external stakeholders
  • Create and coordinate event-related communications and materials including invitations, promotional content, presentations, programs, digital communications, and publications
  • Negotiate and administer contracts and agreements for venues, vendors, caterers, hotels, transportation, audiovisual services, and other event-related needs
  • Ensure accessibility, inclusivity, and positive guest experience standards across programs and events
  • Assess and analyze the effectiveness of programs, outreach efforts, and events; develop recommendations for process improvements, enhanced engagement strategies, and new initiatives
  • Coordinate constituent engagement activities including communications campaigns, outreach efforts, relationship management initiatives, and event logistics
  • Manage attendee registration, reservations, and event tracking systems; prepare reports and analyze participation, satisfaction, and engagement metrics
  • Coordinate scheduling, facility usage, and operational logistics for meetings, events, and related activities
  • Collaborate with volunteers, advisory groups, committees, community partners, vendors, and University personnel to support engagement initiatives and strategic objectives
  • Assist with drafting, editing, and reviewing written communications and outreach materials for a variety of audiences
  • Research, coordinate, and maintain inventories of promotional materials, branded merchandise, event supplies, and related resources
  • Provide guidance and consultation regarding event planning, guest experience, protocol, hospitality, and engagement best practices
  • Administer event budgets, track expenditures, and ensure compliance with institutional policies and procedures
  • Direct and coordinate the work of assigned staff and temporary event personnel; provide training, scheduling, operational guidance, and problem resolution as needed
  • May supervise staff including responsibilities related to hiring, onboarding, performance management, and professional development
